Privacy Policy

QwikTeach operates https://qwikteach.com. This Privacy Policy explains what personal information we collect, why we use it, who receives it, and the choices available to you when you use QwikTeach as a teacher, student, visitor, or lesson participant.

1. Who is responsible for your information?

QwikTeach is responsible for the personal information it collects to operate its own account, billing, security, communications, and product features. A teacher may also be an independent controller of student information that the teacher enters, uploads, or otherwise controls for teaching purposes. If you are a student, you may ask the teacher about their own privacy practices as well as contacting QwikTeach about our processing.

2. Information we collect

  • Account and profile information: name, email address, role, timezone, profile details, login and authentication records, and account preferences.
  • Teacher and student records: bookings, lesson plans, lesson documents, homework, notes, essays, level tests, progress reports, vocabulary, grammar patterns, pronunciation results, and messages or support requests.
  • Lesson audio and transcripts: when recording is enabled, lesson audio may include the teacher and student. We extract audio as needed, create a speaker-labelled transcript with timestamps, and store summaries and derived learning records.
  • Teacher video and Reel materials: QwikTeach may capture teacher video as a source for Reel discovery and editing. We may store Reel scripts, source references, edit ranges, captions, rendered cuts, and your decisions about those materials.
  • Documents and connected accounts: if you connect Google, we may receive the calendar, meeting, or document information needed for the permissions you grant. We store integration credentials securely and use them only for the connected features.
  • Payments and communications: subscription, invoice, transaction, customer, reminder, and support information. Payment card details are handled by the payment provider rather than stored as full card numbers by QwikTeach.
  • Technical and usage information: IP address, browser and device information, pages and features used, timestamps, cookies, security events, error logs, and analytics events.

3. Recordings, transcription, and AI processing

Lesson rooms may record every lesson covered by a recording-enabled plan or booking. The recording can contain voices, images, names, language practice, and anything said or shown during the lesson. We use the recording to provide the recorded-lesson workflow: storing the media, extracting audio, transcribing both speakers, identifying speaker turns, summarizing the lesson, analysing language, tracking learning progress, scoring pronunciation where enabled, and preparing future lesson recommendations.

Teacher-only video may be separated from the lesson recording and used to identify teaching moments for private Reel scripts or cuts. Reel processing is intended to omit student footage and avoid exposing student names or personal details, but teachers must review every result before using it. Do not include sensitive personal information in a lesson unless it is needed for the lesson.

4. Why we use information

  • to create and secure accounts and authenticate users;
  • to schedule lessons, provide video rooms, manage bookings, and send service messages;
  • to record, transcribe, summarize, analyse, and return lesson information;
  • to generate lesson plans, feedback, student memory, progress reports, vocabulary, grammar, pronunciation, and Reel materials;
  • to process subscriptions, invoices, credits, refunds, and teacher payments;
  • to connect calendars, documents, email, and other integrations you request;
  • to operate, troubleshoot, secure, measure, and improve QwikTeach; and
  • to comply with law, enforce our agreements, respond to complaints, and protect people and the service.

Depending on the applicable law, our legal grounds may include providing the service you request, performing a contract, complying with legal obligations, legitimate interests such as security and product operation, and consent where consent is required. Marketing communications can be unsubscribed from at any time. Withdrawing consent does not affect processing already carried out lawfully and may prevent a feature from working.

5. Service providers and sharing

We share information with providers that help us operate QwikTeach, under contractual or other safeguards appropriate to the service. Depending on the feature used, these may include:

  • Daily.co for video rooms and recording;
  • Amazon Web Services for application hosting, databases, queues, and media storage;
  • Deepgram and other speech providers for transcription and diarization;
  • OpenAI and other AI providers for lesson generation, analysis, summaries, and related features;
  • QwikSpeak or other pronunciation providers for enabled pronunciation scoring;
  • Google for calendar, meeting, Drive, and Docs integrations;
  • Stripe, PayPal, and related providers for payments and billing;
  • Resend and Ably for email and in-app notifications;
  • analytics, monitoring, security, and support providers; and
  • authorities, advisers, or other parties when required by law or needed to protect rights, safety, or the service.

We do not sell lesson recordings or transcripts. We do not use student lesson recordings or transcripts to create public marketing content. We do not publish Reel materials on your behalf unless you separately request and authorize a supported publishing workflow.

6. International transfers

QwikTeach and its providers may process information in countries other than the country where you live, including the United States. Where required, we use an adequacy decision, contractual safeguards, or another lawful transfer mechanism and apply appropriate technical and organisational protections. The availability and location of a provider may change as the service evolves.

7. Retention and deletion

We keep information for as long as needed for the purpose collected, including to provide lesson history and requested features, maintain security and backups, resolve disputes, collect payment, comply with accounting or legal obligations, and enforce our agreements. Recordings, extracted audio, transcripts, summaries, progress records, and Reel assets may remain linked to the relevant booking or student record while those features are active. Retention periods can differ by data type and plan.

You may ask us to delete your account or particular information by emailing [email protected]. We will assess the request under applicable law. Deletion may not remove information that we must retain, information held by another controller such as a teacher or Google, or information in secure backups until those backups expire. Teachers should also remove student content they no longer need.

8. Your rights

Depending on where you live, you may have rights to know whether we process your information, access it, correct it, receive a copy, object to or restrict certain processing, withdraw consent, and request deletion. You may also have the right to complain to your local data protection authority. 9. Cookies, analytics, and communications

We use necessary cookies and local storage for authentication, security, preferences, and the operation of the site. We may use analytics and advertising measurement tools to understand visits and sign-ups. You can manage cookies through your browser and opt out of promotional email using the unsubscribe link or by contacting us. Service and transactional messages may still be sent when needed to operate your account or lessons.

10. Security and incidents

We use access controls, encryption or protected connections, credential protection, logging, and other safeguards appropriate to the information and service. No internet service can guarantee absolute security. If we identify a personal-data incident that requires notice, we will notify affected people and authorities as required by applicable law.

11. Children

QwikTeach is intended for adults and independent teacher-student relationships. A parent, guardian, school, or teacher who arranges access for a minor is responsible for obtaining any permission required for the minor’s account, lesson participation, recording, and data processing. Contact us if a minor’s information was provided without appropriate authority.
