General Terms & Conditions

These General Terms & Conditions (the “Terms”) govern your use of QwikTeach, including its website, lesson rooms, teacher sites, booking and payment tools, lesson documents, AI-assisted teaching features, recorded-lesson analysis, and Reel features. By creating an account or using QwikTeach, you agree to these Terms and our Privacy Policy.

1. QwikTeach and eligibility

QwikTeach is a software service for language teachers and their students. You must provide accurate information, keep your login details secure, and use the service only for lawful teaching, learning, business, and administrative purposes. If you invite or add another person, you must have the authority to provide their information and to arrange their participation in a recorded lesson.

2. Accounts and lesson relationships

Teachers are responsible for the students they add, the information and materials they upload, the lesson terms they offer, and the communications they send. Students are responsible for the accuracy of their profile and the materials they submit. A teacher and student may each have access to different records and lesson materials according to their role and the feature involved.

3. Recorded lessons and consent

QwikTeach lesson rooms are designed to record lessons when recording is enabled for the booking or plan. The recording may capture the teacher’s and student’s audio and, where the room or recorder is configured to do so, video. QwikTeach may extract audio from the lesson recording, create a speaker-labelled transcript, and use the transcript and related lesson data to generate summaries, progress reports, vocabulary and grammar tracking, pronunciation analysis, lesson recommendations, and other teaching records.

Teachers and students must tell every participant before the lesson that the lesson may be recorded, transcribed, and analysed, and must obtain any consent or other permission required by the law that applies to them. A participant who does not agree should not join a recorded lesson; the teacher must contact QwikTeach or arrange a lesson without recording where that option is available. QwikTeach does not decide whether a teacher’s notice or consent process satisfies local recording, privacy, employment, education, or consumer law.

4. Teacher recordings and Reels

For eligible plans, QwikTeach may capture and store a teacher-only video source from a lesson. It may use that source together with time-coded lesson transcript data to find teaching moments and prepare private, editable Reel scripts or video cuts. Reel candidates are for the teacher’s review. Teachers decide whether to edit, download, record, publish, or share them.

Teachers must not use a Reel or other export to identify, expose, or publish a student or a student’s confidential information without the necessary permission. Teachers must review every script, caption, cut, and destination before sharing it. QwikTeach does not automatically publish a Reel to a social network unless a separate publishing feature and authorization flow expressly says that it will.

5. AI-assisted features

QwikTeach uses automated systems to transcribe, summarize, classify, score, recommend, and generate teaching materials. AI output can be incomplete or wrong, and is not a substitute for a teacher’s professional judgment. Teachers must review reports, lesson plans, feedback, pronunciation scores, and Reel materials before relying on or sharing them. Do not use QwikTeach as a medical, legal, financial, or emergency service.

6. User content and permissions

You retain ownership of content you submit or create, subject to rights belonging to other people. You grant QwikTeach the limited worldwide permission needed to host, reproduce, process, transcribe, analyse, display, and deliver that content to provide and secure the service, generate the features you request, and maintain service records. You also confirm that you have the rights and permissions needed for content involving students, lesson participants, documents, recordings, and third-party materials.

7. Google, calendar, documents, and other integrations

If you connect Google or another service, you authorize QwikTeach to access and use the information and permissions needed for the integration you select, such as calendar events, meeting links, or Google Docs. The connected service remains governed by its own terms and privacy policy. You can disconnect an integration through the available account controls or by contacting us, but disconnection may stop features that depend on it.

8. Plans, trials, payments, and cancellations

Some features require a paid plan. Prices, billing intervals, trial terms, included limits, and taxes are shown at checkout or in the applicable plan information. Paid subscriptions renew until cancelled under the applicable checkout terms. Payment providers may process payment details and may have their own terms. Cancellation normally stops future renewals; it does not automatically undo charges already made or delete records that QwikTeach must retain. Refunds are handled according to the offer, checkout terms, and applicable law.

9. Availability, changes, and acceptable use

We may change, suspend, or discontinue features, including recording, transcription, AI, integrations, and Reel limits. We may suspend accounts or remove content that violates these Terms, creates security or legal risk, or interferes with the service. You may not probe, scrape, reverse engineer, resell, bypass access controls, upload malware, impersonate another person, or use QwikTeach to infringe rights or distribute unlawful, abusive, or deceptive content.

10. Disclaimers and liability

QwikTeach is provided on an “as available” basis. We do not promise uninterrupted recording, transcription, AI accuracy, storage, integrations, lesson results, or uninterrupted access to historical materials. To the extent permitted by law, QwikTeach is not responsible for indirect, incidental, special, consequential, or lost-profit losses arising from use of the service. Nothing in these Terms limits liability or consumer rights that cannot lawfully be limited.

11. Termination

You may stop using QwikTeach at any time. We may suspend or terminate access for a material breach, non-payment, security risk, or legal requirement. Provisions concerning payment, ownership, permissions, confidentiality, liability, disputes, and records that must be retained continue after termination.

12. Complaints and contact

Send questions, complaints, privacy requests, or recording concerns to [email protected]. We will acknowledge written complaints and handle them within a reasonable period. These Terms do not remove any mandatory rights or remedies available under the law that applies to you.
